Privacy Policy

1. Who We Are

This policy is provided by Savoy Real Estate Services LLC, doing business as Savoy Residential ("Savoy," "we," "us"). We manage apartment communities in Texas. For personal data collected through our community marketing websites and our online rental application (including pages served at apply.livesavoy.com and community sites such as themarcusdallas.com), Savoy is the controller: we decide what is collected and why. Service providers named in Section 6 process data on our instructions.

This policy covers our resident-facing marketing sites and application flow. It does not cover the resident portal operated by ResMan under ResMan's own terms, or our corporate careers or investor pages.

2. What We Collect

You provide directly, in the application or on the sites:

• Contact information: name, email address, phone number, preferred move-in date.
• Identity information: date of birth, government ID type/number and issuing state. (Social Security numbers, where collected for screening, are handled under the safeguards in Section 10.)
• Household information: co-applicants, occupants, and guarantor details you enter.
• Residence history: current and prior addresses, dates, and landlord references (up to five years).
• Employment and income: employer, position, start date, and income information.
• Emergency contacts.
• Vehicle and pet information.
• Anything you type into chat or tour-scheduling tools on our sites (see Section 4).

Payment information: Application and administrative fees are processed by Stripe, our payment processor. Card details are entered into Stripe's systems. We never store your card number. We receive confirmation of payment, the amount, and limited transaction metadata.

Collected automatically:

• A first-party identifier cookie that lets us recognize your browser across visits to our sites.
• Ad-click and campaign attribution parameters (for example utm codes, gclid, fbclid) present when you arrive at our sites, which we associate with your application or tour request so we know which advertising brought you to us.
• Ordinary technical data: IP address, device and browser type, pages viewed.

Saved as you type: The application saves your draft to our systems as you complete it, before you submit. This lets you resume later and lets our leasing team follow up if you start but do not finish. See the Rental Application Terms of Use for details.

3. Where the Data Goes

Data you submit flows from your browser to our website infrastructure (hosted on Vercel), into the Savoy Operating System (SOS), our internal management platform. If you apply, relevant data is later transmitted to ResMan, the property management software we use for lease administration, where it becomes part of the property's records. Each of these parties processes data on our behalf; none of them may use your data for their own purposes.

4. Chat and Tour Scheduling

Chat and tour-scheduling tools on our sites are operated by our vendor EliseAI on our behalf. Information you submit through those tools (your name, contact details, tour preferences, and messages) is collected by Savoy Residential, not by a third party for its own use. We use it to answer your questions, schedule your tour, and connect your inquiry to your later application so you do not have to repeat yourself. A short notice to this effect appears near the chat and tour surfaces.

5. Why We Use Your Data

• Process your application: evaluate it against our published rental criteria and communicate decisions.
• Screening: obtain credit, criminal-history, and rental-history reports through our screening provider, Vero, with your authorization given in the application.
• Lease administration: create and manage your lease and resident account in ResMan if approved.
• Communications: transactional messages about your application, tour, or lease; and, only if you opt in, marketing messages by SMS or email. See Section 8.
• Marketing attribution and analytics: understand which advertising and channels produce inquiries and applications, and improve our sites.
• Legal compliance and protection: fair-housing and record-keeping obligations, fraud prevention, and establishing or defending legal claims.

Fair housing. Savoy Residential complies with the federal Fair Housing Act and Texas fair-housing law. We do not use personal data to discriminate on the basis of race, color, religion, sex, familial status, national origin, or disability, and our screening criteria are applied uniformly.

6. Who We Share Data With (Processors)

We share personal data only with service providers acting on our instructions, with the property owner whose community you apply to, and where the law requires. Current material processors:

We do not sell your personal data, and we do not share it with third parties for their own marketing.

7. Cookies and Attribution

Our sites set a first-party cookie so we can recognize your browser and connect your visits, tour requests, and application into one record. We also record the campaign parameters that brought you to the site. We use this for attribution and analytics, not to build advertising profiles of you for third parties. Where a cookie-consent banner is presented, non-essential cookies load only per your choices.

8. Text Messages and Email

• Transactional SMS: when you provide your phone number at the start of the application, you consent to text messages about your application and tour (confirmations, reminders, follow-ups on an incomplete application). Message and data rates may apply. Reply STOP to opt out.
• Marketing SMS and email: offered as separate, optional checkboxes at application submission. Declining never affects your application.

9. How Long We Keep Data

We keep application data only as long as we have a business or legal need for it. Our current schedule:

• Applications that do not result in a lease (including abandoned drafts): identifiable data retained 25 months to satisfy fair-housing record-keeping and dispute windows, then deleted or de-identified.
• Applications that become leases: retained for the residency plus 4 years after move-out.
• Payment records: per Stripe's and our accounting retention obligations.
• Aggregated, de-identified statistics (conversion rates, attribution performance) are kept indefinitely; they no longer identify you.

10. Security

We use administrative, technical, and physical safeguards appropriate to the sensitivity of the data: encryption in transit, access controls that limit application data to leasing and administrative staff who need it, authenticated server-to-server transfers between our website and SOS, and vendor contracts requiring equivalent protections. No system is perfectly secure; if a breach affecting you occurs, we will notify you as Texas law requires (Tex. Bus. & Com. Code § 521.053).

11. Your Texas Privacy Rights (TDPSA)

Under the Texas Data Privacy and Security Act, Texas residents may:

• Confirm whether we process your personal data and access it.
• Correct inaccuracies.
• Delete personal data you provided or that we obtained about you.
• Obtain a portable copy of data you provided.
• Opt out of targeted advertising, sale of personal data, or profiling with significant effects. (We do not sell personal data; see Section 6.)

To exercise rights: email privacy@savoytx.com with your name, the community you applied to, and the right you are exercising. We will verify your identity before acting on your request and respond within 45 days (extendable once by 45 days with notice). We will not discriminate against you for exercising rights.

Appeals: if we decline a request, you may appeal by replying to our decision; we will answer within 60 days. If the appeal is denied you may contact the Texas Attorney General.

12. Children

Our sites and application are for adults 18 and older. We do not knowingly collect personal data from children under 13. Occupant information about minors in your household is provided by you as the applicant and used only for lease administration.

13. Changes to This Policy

We will post updates here with a new effective date. Material changes affecting pending applications will be notified by email.
